Executive Assistant

With a focus on collaboration and continuous improvement, we are seeking a dedicated and professional Executive Assistant to support our CEO/COO, and Executive Team in driving strategic initiatives and achieving organizational goals.

Position Overview:

The Executive Assistant to the CEO/COO/Executive Team serves as a strategic partner, providing high-level administrative, operational, and logistical support. This role requires exceptional organizational skills, discretion, and the ability to manage competing priorities while maintaining a high degree of professionalism. You will act as a liaison with internal and external stakeholders and play a critical role in ensuring the efficient management of the CEO/COO/Executive Team’s time and responsibilities.

Key Responsibilities:

  • Serve as a primary point of contact for the CEO/COO/Executive Team, managing communications and correspondence with internal and external stakeholders.
  • Maintain and prioritize executive calendars, ensuring alignment with strategic initiatives and goals.
  • Support meetings by preparing agendas, taking notes, and following up on action items.
  • Assist in strategic planning, policy development, and implementation of innovative systems to streamline operations.
  • Collect, analyze, and report on data to track organizational performance metrics.
  • Plan and coordinate various meetings and events, including Board of Directors, Shareholder, and Leadership Team meetings.
  • Manage travel arrangements, expenses, and payroll for the CEO/COO and assist board members with travel logistics as needed.
  • Oversee special projects, ensuring tasks are assigned and progress is communicated effectively.
  • Maintain confidential files, data records, and oversee the organization's Record Retention Policy.
  • Provide on-call support to the CEO/COO as needed.

Qualifications:

  • Bachelor’s degree in business administration, communications, or a related field (preferred).
  • 3-5 years of experience as an executive assistant supporting C-level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with Access databases and Power BI is a plus.
  • Exceptional written and verbal communication skills.
  • Strong organizational and problem-solving abilities, with attention to detail.
  • Discretion and ability to handle sensitive and confidential information.

Physical Requirements:

  • Prolonged periods of sitting, typing, and working at a desk.
  • Occasionally required to stand, walk, and carry light items (up to 15 lbs).
  • Ability to travel for offsite meetings or events as needed.
