Highmark Senior Living Facilities Manager

Position Summary

Oversees the maintenance and operation of senior living facilities, ensuring the buildings and grounds are safe, clean, and functional for residents, while also managing a team of maintenance staff, coordinating with external contractors, and adhering to all safety and compliance regulations related to senior housing facilities.

Key responsibilities:

  • Staff Supervision:
  • Provide formal supervision to employees. Track the training and development of staff. Conduct performance evaluations and coaching. Oversee the recruiting and hiring of new employees.
  • Coordinate and manage the team's daily activities. Establish work schedules, assign tasks, and cross-train staff. Set and track staff and department deadlines.
  • Maintenance Management:
    • Develop and implement preventative maintenance schedules for building systems, equipment, and grounds.
    • Oversee routine repairs and maintenance activities, including coordinating with external contractors for complex issues. Ensure contracts are in place per the approval process.
  • Perform facility inspections quality assurance following local, state, and federal regulations. Suggest and implement operational efficiencies, repairs, and upgrade opportunities.
  • Create environmental health and safety procedures for facilities
    • Monitor and manage the budgets for maintenance and repairs.
  • Develop vendor relationships and oversee invoicing procedures. Review and approve purchase orders for the procurement of parts, services, and labor for projects.
  • Project Management:
    • Oversee renovation projects, including planning, budgeting, and coordinating with contractors.
    • Prepare specifications for building projects, estimate costs, and manage project timelines.
  • Compliance and Safety:
    • Ensure adherence to all local, state, and federal regulations related to senior living facility maintenance and safety.
    • Monitor and address any safety concerns within the facility.
    • Implement and maintain safety procedures for staff and residents.
  • Communication and Collaboration:
    • Collaborate with other departments within the senior living facility, including resident care staff, management, and administrative teams.
    • Respond promptly to resident concerns and maintenance requests.
  • Requirements:
    • Industry certifications:?
      • HVAC – EPA?
    • Minimum 5 years’ experience in facilities management
    • High school diploma or trade school diploma required.
    • Proven experience in facilities management within the Senior Living industry, including knowledge of appliance repair, carpentry, plumbing, electrical and heating and air conditioning.?
    • Knowledge of safety procedures; must be safety conscious, discerning and dependable.?
    • Ability to work flex-schedule to accommodate after hour and weekend emergencies.
    • Accurately documents on a computer and/or mobile device the work performed on service requests within 24 hours.
    • Regional travel required.
    • Valid driver’s license, clean driving record and auto insurance required.
    • Strong understanding of building systems, including HVAC, plumbing, electrical, and fire safety systems.
  • Success Factors
  • Excellent project management skills, including budgeting and scheduling.
  • Leadership abilities to manage a team of maintenance staff.
  • Additional industry certifications, such as:
    • OSHA?
    • Lead Based Paint Certified?
    • Mold Remediation Certification?
  • Must be able to effectively communicate with residents, associates, supervisors, vendors, stakeholders, etc., both verbally and in writing.
  • Strong attention to detail, organization, and accuracy.
  • Ability to prioritize, multitask, and meet deadlines under pressure.
  • Strong presentation skills with the ability to interact with all levels of management and staff.
  • Ability to problem solve, respond proactively to issues, and take initiative.

Physical Demands

  • Extensive mobility and excellent physical condition.
  • Ability to lift 50 lbs. occasionally to include but not limited to: moving appliances lift and carry ice-melt from ground to truck bed height on occasion, and shovel snow frequently during the winter.
  • Occasionally lift and hold 20 pounds overhead for extended periods of time.
  • Must be comfortable on ladders and lifts to 30 feet.
  • Tolerance to all extremes of hot and cold weather (below 0 and above 100 degrees) frequently for extended periods of time.
    • Constant ability to walk, crouch, climb, crawl, etc. to reach items in need of repair.
